FAQ: Office in a Box

What Is It?

DDC’s Office in a Box is a turnkey business computing solution which features DDC’s DuraServer network appliance preconfigured with Microsoft Small Business Server 2008.  DDC provides the hardware and guarantees it against trouble by providing free hardware repair or replacement.   DDC provides the Microsoft software and provides free upgrades, monthly maintenance, patches and remote technical support.  With Office in a Box, you don’t have to worry about refreshing your server hardware or software.  We provide it all. 

What Is Included?

Depending on the size of your organization, the DuraServer network appliance includes either Microsoft Windows 2008 Small Business Server or Microsoft Windows Server 2008 R2 and a variety of enterprise-class software applications including:

  • Microsoft Exchange Server 2007
  • Microsoft SQL Server Workgroups
  • Microsoft Windows SharePoint Server
  • Microsoft Terminal Services

The DuraServer also provides a DuraDesk for each user which can be used locally or remotely. The DuraDesk includes:

  • Microsoft Office Standard
  • Microsoft Outlook
  • Microsoft SharePoint MySite

What Other Software Can You Provide?

DDC can provide most software in the Microsoft catalog for a monthly fee including free software upgrades (software assurance).  These packages include:

  • Microsoft Visio / Visio Pro
  • Microsoft Visual Studio Pro
  • ProClarity Analytics Desktop

Can DuraServer Run My Software?

The DuraServer network appliance can run almost any Microsoft Windows Server-based software.  In most cases, the additional software can run on the DuraServer along with the standard Microsoft Business applications.  If your application requires more power, we can deploy it on its own DuraServer.  The kinds of applications our customers run include:

Who Provides Third-Party Software Licenses?

If you already own a license for the software on your current server, we can transfer the license to your DuraServer.  If not, we can procure the software licenses for you.  If you aren’t sure, ask us, and we will help you find the most cost-effective option.

What About Backups?

DuraServer Office In A Box can be backed up locally to a tape drive or USB HardDrive.  Offsite backup in our secure private cloud is also available for a fee based on storage size-- just ask us about DuraVault.  DDC also provides mail archive services and disaster recovery service, which maintains a complete image of your onsite DuraServer in the cloud to provide a seamless recovery strategy after fire, flood or other disaster.

How Do You Keep My Data Safe?

Using Office in a Box, your data is stored on the DuraServer Network Appliance in your office. You can add a USB drive or tape to have a reliable local backup. Or you can choose to use our DuraVault backup service. With DuraVault, your data is uploaded to our secure Network Operations Centers and stored on enterprise-class RAID disk arrays with industry standard security and authentication protocols.

Is it Secure?

DDC employs a variety of standard security procedures including:

  • Hosting in a secure controlled-access facility.
  • Requiring appropriate identification from anyone claiming to represent a customer.
  • Verification with a known customer representative prior to making any changes.
  • Requiring written authorization for release of data to third parties.
  • Secure challenge/response authentication to online account management systems.
  • VPN Encrypted connections for any customer who requests it.
  • Continual monitoring of all systems for unauthorized access.
  • Continual Anti-virus filtering and monitoring.
  • Customer Account access logs are available for customer analysis on request.

DDC makes a variety of enhanced security techniques available for customers at reasonable rates

  • Hardware VPN encryption devices

Is it Expandable?

You can add additional users to your Office in a Box deployment with a phone call.  You can add software whenever you need to.  Office in a Box is designed to manage a single location, but you can grant access to travelling employees, telecommuters and temporary workers. Each worker connects to your Office in a Box using their own personalized DuraDesk. And you can add and remove DuraDesks with a phone call. If you grow so large that you need more computing power, we take care of it for the same price per user.  

How Do My Users Connect to the DuraServer?

DDC’s Office in a Box works just like your current Windows Server.  You can connect using direct client-server connection over your local area network, using VPN, or using DuraDesk with Remote Data Protocol.  Or use a mixture of all three.  DDC will analyze your needs and configure your clients for the most efficient connections.

What About My Desktops?

We provide a variety of options to help you manage your individual employee workstations ranging from maintenance of your hardware and software to full supported replacement hardware.

Management & Monitoring – this package includes performance monitoring, application of monthly updates and patches and free remote technical support. Starting at $49.95/month.

Desktop Replacement – this option provides replacement hardware and software for each user including a business-class workstation loaded with Windows XP or Windows 7, Microsoft Office Standard, Outlook, Acrobat and more.  If anything goes wrong with the hardware, we repair or replace it free.  And software and Windows upgrades are included to make your investment future-proof.  

Thin Clients – these solid state mini computers replace your existing workstations and access your DuraServer directly.  With no moving parts, they are extremely rugged.  We provide remote maintenance and support, and the software and user experience are included with your DuraServer. Thin clients save time and money, and use less power than your current workstations.

How Does This Save Energy?

The DuraServer Office in a Box provides the functions of several servers in one, reducing both power use and heat generation.  If you pair it with Thin Clients for your employees, the power savings can be substantial

How Does this Save Money?

The total cost of ownership for servers includes software, software upgrades, hardware, hardware repair, hardware refresh, technical support, employee downtime and more.  Typical industry costs are more than $200/month per employee for workstations alone.  Servers generally cost more than $10,000/year with support and repair.  Office in a Box replaces these costs with a flat rate starting at just $100/employee per month, yielding substantial savings.  Add reduced employee downtime and no refresh costs, and Office in a Box can save you thousands of dollars each year.

What Are You Responsible For?

DDC provides the server hardware (and Desktop hardware if you choose) including monitoring, maintenance and repair.  DDC also provides most of your line of business software with free upgrades and remote technical support.  If we provide it, we manage it, fix it, or replace it for free.

What Am I Responsible For?

You are responsible for all the software and hardware you provide, your onsite network components like switches and routers, your local backup system and your internet connection.  Of course we are happy to help you manage and maintain these systems too for our standard service rates.  You are also responsible for protecting the hardware we provide from unauthorized access.  You are required to maintain sufficient insurance to replace our equipment in the event of theft, abuse, physical damage, power damage, or natural disaster.

What’s Involved in Setup?

Setup is simple.  Your DuraServer Network Appliance will arrive in a sturdy shipping box.  You just plug it into your network and the wall, turn it on, and call us to let us know that it is installed.  Then we connect to it remotely and configure it for your network.  You can keep using your current server while we harvest user data, profiles, login information and customize your DuraServer for your applications.  When we’re ready (usually within 24 hours), we will remotely configure each of your user’s to access the new server.  You turn off our old server and you’re done.

How Much Does It Cost?

DuraServer Office in a Box costs just $100 per user each month with a five user minimum.  If you have specialty applications, we will install them for our standard service rates and manage them for an additional $100 per application per month.

How Do You Bill?

Your monthly service fee for Office in a Box will be automatically debited using a credit card or ACH information you provide.  Service and technical support outside of the scope of the service (such as support for your hardware or software or third-party applications) is billed via invoice with 15 day net terms.

What are the Terms?

DuraServer requires a 12 month commitment.  Early cancellation requires payment of ½ the remaining contract balance.  To understand all the terms, view the Terms of Use and Customer Agreement.
